Department-Specific Information on Clinical Faculty Appointments
Initial clinical faculty appointments in the Department of Family Practice are normally at the rank of Clinical Instructor for a 3-year term (see Clinical Faculty Appointment & Reappointment Term Timelines for Exceptions). Application package includes:
- Application for Clinical Faculty Appointment (v. Dec2025)
- Either a Curriculum Vitae in any preferred format (UBC Faculty of Medicine Clinical Faculty CV recommended) OR a Record of Academic Activities
- Clinical Faculty Teaching Tracking Form
- Electronic Fund Transfer (EFT) Request Form
- Optional: Letter of Recommendation from the Site Director or Regional Associate Dean that outlines what the candidate will be teaching
If you are teaching in the Family Practice Postgraduate Program, please click here to determine your Site Director.
If you are teaching in the Medical Undergrad Program, please contact the following Administrators to obtain a letter from the Regional Associate Dean.

Clinical Faculty Promotion
Clinical faculty promotions are not automatic. A request for promotion is initiated by the clinical faculty member, and/or their Site Director, Regional Associate Dean or Department Head. Clinical faculty promotions are reviewed by the Departmental Clinical Faculty Appointments and Promotion Committee (DCFAPC), and if approved recommendations are sent to the Dean who in turn recommends to the President and eventually the Board of Governors. The Committee meets in person or by teleconference in a series of meetings in Spring and Winter.
Here are the deadlines to have your promotion documents submitted to Ara Silva at clin-fac@familymed.ubc.ca for promotions effective 2026.
January 15, 2026 for promotion effective July 1, 2026.
July 31, 2025 for promotion effective January 1, 2026.
A full review for purposes of promotion shall normally be held every three years. The candidates must meet all the criteria for the rank they are pursuing.
