Email and Systems Access
Once you set up your CWL, please contact MedIT Service Desk to set up your email address/alias for UBC FASmail. Your supervisor should also request network and systems access through MedIT. MedIT’s resources are located here, including:
Keys and Alarm
If you require keys and an alarm code, your supervisor can order them through our central department by emailing: dept.head@familymed.ubc.ca. The Security Group will send you an email once they are ready, and you will need to bring photo ID and a form of payment for the key deposit. You will be asked to provide a 4-digit code for alarm access, if required.
Booking Meetings and Equipment
To book meetings in the main board room or to rent equipment, please contact dept.head@familymed.ubc.ca.

Recruitment Process
- Send information to HR before creating a job posting – A formal description of the job must be discussed with the HR team
- Committee Selection – Selection committee members must engage in UBC EDIFY training prior to participating in the committee. Ensure that the committee is established upon the guide/ Ensure that the committee establishment considers the representation of employees within the organization.
- Create a job posting and advertise the posting – Once approved by the HR team, create an accurate job description and advertise externally and internally. Please follow each employee group’s job advertisement policy.
- Review resumes and cover letters – Look for education and work experiences that align with the role. Ensure you have a large pool of applicants and if not, consider extending the application deadline. Engaging in hiring equity training prior to the screening is recommended.
- Interviewing – Get to know short-listed candidates, potentially including a phone screen. You may consult the HR team as you develop the interview questions. In the case of virtual interviews, please keep equity considerations in mind.
- Selection – Contact at least 2 supervisory contacts before coming to a decision. Please refer to Search & Selection page on MedNet for resources.
- Offer – Make a verbal offer that includes salary, probation, benefits end date etc. Please refer to Making Offer page on MedNet for forms, templates and checklists.

Teaching Tracking and Payment Systems
